The short answer

Catering in Cape Town costs R180–395 per person for canapés, R280–695 for buffets, R110–450 for spit braais and R450–900-plus for plated formats, based on rates published by Fork and Nice, Textures Bespoke, Chef Wadia, Why Not?! and Okhantu. Staffing adds R120–160 per waiter per hour. Our own rates for catering in Cape Town are published per format — tables below.

One caveat before the numbers: Okhantu's directory-level figure of R80–300 per person, averaging around R190, skews to simple drop-off jobs — sandwiches and platters, not staffed events. This guide separates drop-off, staffed and premium formats so you compare like with like. Figures verified August 2026; we refresh annually.

Per-format market bands — the published evidence

Each format has its own market. Here is what the operators who publish actually charge, named and dated.

  • Canapés: Fork and Nice from R245 per person (12-plus per guest recommended); Textures Bespoke R395, or R495 with welcome drinks; Chef Wadia R35–40 per piece; Okhantu bands canapés-only at R180–280 per head.
  • Drop-off and platters: Why Not?! guides R120–250 per person for drop-off platters and canapés; Chef Wadia's gourmet platters run R600–1,250 per platter serving 8–10.
  • Buffets and corporate: Chef Wadia's conference packages R350–695 per person; Why Not?! bands buffet and spit-braai at R280–400, plated three-course at R450–650, premium chef's table from R650.
  • Spit braai: MySpitBraai from R110 per person; Fork and Nice R325 gourmet; Mad About up to R450 for the Executive — our spit braai prices guide covers this format line by line.
  • Grazing: Globetrotting Treats lists grazing tables at R190 per person, minimum 12 guests.
  • Staffing: HireProStaff publishes waiters and bartenders at R120 per hour (premium waiters R150); Fork and Nice R160 per hour with a four-hour minimum; ProServe guides R50–150 across SA with Cape Town at the upper end.

What actually changes the price

Four levers explain most of the spread between a R190 headline and a R700 quote. Format is the first: roaming canapés need less service labour than a plated three-course dinner, and the market prices accordingly. Headcount is the second: fixed costs — the chef team, transport, setup — divide across guests, which is why per-person rates fall steeply between 20 and 100 heads.

Service level is the third lever, and the most commonly hidden: staffing at R120–160 per hour with four-hour minimums, bar service at R1,000–2,000 plus beverages (MySpitBraai publishes exactly this), and rentals for glassware and linen. The fourth is the calendar — festive dates carry published multipliers, and November–December surcharges exist across the market.

Chef's Pantry's worked example shows the compound effect for a 100-guest buffet: food R35,000–45,000, staff R5,000–10,000, delivery and equipment R2,000–5,000. The all-in total runs 20–40% above the food-only line, every time.

The fifth lever is the one nobody prices: lead time. The same event costs more in December than in May because calendars, not kitchens, are the scarce resource — operators publish November–December surcharges (Mad About adds R15 per person; festive dates across the market carry 1.5–2× multipliers), and the real cost of booking late is losing the caterers you wanted. Four to eight weeks is the comfortable window for most events; November–December dates want October bookings; the peak wedding windows want nine to twelve months.

Where we stand — our published rates

Our catering rates are published per format and priced all-in: staff, rentals and travel itemised in the first version of the quote, not discovered in the final invoice. The corporate band carries a minimum spend because below it, drop-off platters are the honest product.

Every figure here renders from the same canonical rate card as our pricing page — and the festive multipliers (public holidays 1.5×; 25 and 31 December and 1 January at 2×) apply on top, disclosed wherever a price appears.

A note on the two ends of our own range. At the everyday end, office drop-off platters cover the working lunch that needs no staff at all — the format the Okhantu average describes. At the staffed end, corporate catering prices all-in, because the honest corporate product includes the waiters, the rentals and the travel in the first number you see. If your event sits between those poles — a 30-person birthday, a memorial tea, a villa party — the canapés and grazing formats are built for it, and our how-to-choose-a-caterer guide gives you the framework to compare us against anyone.

Three cost lines deserve special mention because they behave differently from the food. Bar service: MySpitBraai publishes R1,000–2,000 plus beverages, and mobile bar setups across the market follow the same shape — budget it as a fixed-plus-consumption line, not a per-person one. Chef-on-site surcharges: Chef Wadia's published R4,000 wedding plating fee is the honest version of a line many quotes bury. And travel: out-of-town venues add published per-day fees — R500–1,500 by distance at MySpitBraai, R200–500 per day in the villa-chef market — so a Stellenbosch quote and a Sea Point quote for the same menu will legitimately differ.

Compliance is the invisible line. A legitimate caterer carries a Certificate of Acceptability under Regulation R638, and the certification, training and insurance behind it are real costs built into any professional price. This is part of why the R80–190 directory floor and the R400-plus staffed market coexist: they are not the same product with different margins. When a quote undercuts the market dramatically, the first question is not 'how is it so cheap' but 'which of these lines is missing'.

So what should you actually budget? For a staffed private event of 20–40 guests — canapés or a braai format, service included — the honest all-in band across the published market is R300–500 per person. For plated event dinners, R500–900. For simple drop-off feeding a working team, R120–250. Within each band, the spread buys sourcing, service and accountability in that order — and the checklist below is how you find out which of the three a given quote is actually pricing.

We will keep this page current as the market moves: the figures above are re-verified annually, and the sources are named so you can check every one of them yourself.
